User Stories–Thinking outside the box

Hello all, a few days ago, I was helping my friend Doug Pitcher covering support while he avatarwas spending the dollars, so I answered a call from one of our customers, she was not able to change her password used to access the server where Dynamics GP lives on her company.

It was a nice call so far, she was giving a thought on what her password should be and finally she says “I know which one I am going to use” and then I say “please do not use your home address” she replied with a laugh saying “how did you knew?” so I just said well it’s common on users to do that, then she kept thinking a bit more when I saw her enter her password, but again she was receiving errors, so I asked her “remember do not use a password that was previously used before, it should not contain parts of your name or last name it should include a Capital letter and at least one number” when I was frozen by the question “Should I enter uppercase or lowercase numbers?”.

What?…. wait a second did I heard it right? so I asked “can you repeat that?” and she said it again “uppercase or lowercase numbers?” at first I must say I was at the point to break in a laugh but I do respect our customers and try to understand them so for a few nanoseconds my mind went into a spiral when all of the sudden I had a revelation!!!!.

So I asked “Could you please tell me, are you using a laptop or a desktop?”

she replied “A desktop…” then my mind workflow was in the correct path then I asked

“How are your uppercase numbers organized"?” when she replied “They are above QWERTYUIOP” and then I asked “how are your lowercase numbers organized “ when she said “on the right part of my keyboard right next to the arrows….” so I said “use your lowercase numbers” after a few moments she replied “my lowercase numbers are not working…” this is an easy fix I said “press the Num Lock” on your lowercase number area and they will work”

 

Finally I was able to help her reset her password but I kept thinking on it as I have a laptop with regular keyboard not the extended version I saw that sometimes you have numbers on the letters M,J,K,L,U,I,O that are smaller than the key letter, so should that have been the case I know that I can find lowercase numbers on my laptop.

 

Now I have shared this true story behind the Customer Service Desk and I hope you like it, and I would like you to share one of your memories while working with users and Dynamics GP.

Currency Translation Default Exchange Table IDs–Demystified!!!

A few days ago I was browsing GP when I noticed a section in GP that I was not familiar with. avatar

I used to provide multicurrency support in LATAM as well for a company I sued to work but this time I was left with a question mark.

If you go to Tools > Setup > Financial > Multicurrency

you will see Multicurrency Setup window that now includes a section named “Currency Translation Default Exchange Table IDs”

I searched all over the internet and GP help files but with no luck, then I asked on Microsoft Communities when a friend from Fargo provided such information.

After installing GP 2010 SP1 you can translate GL amounts in a specified currency. Management Reportes can use translated amounts directly from Dynamics GP.

A currency translation allows you to report GL in different currencies that are not either the functional currency or the originating currency.

That’s why they (MS) added this table to setup exchange rate to be used for translation.

 

Translation Types:

Average uses a single exchange rate for each GL period, the values are converted to the reporting currency using an average exchange rate for the individual period as entered in the exchange table.

Current uses a single exchange rate based on the report date, the values are converted to the reporting currency using the exchange rate on the “as of date” for the report.

Historical uses a single exchange rate based on the transaction date, when an account is converted to the reporting currency individual transactions for the account are converted to the reporting currency using the exchange rate that was valid on the transaction date, then all summary information will be recreated for the account, based on the translated amounts.

 

In all three types if an exchange rate couldn’t be found then functional currency amounts are used.

 

There are more features that came along with this new characteristic, and obviously you need FP1 for Management Reporter.

FRx 6.7 SP 12 (not April Fool’s)

Hello all

Its my pleasure to inform you first hand that FRx 6.7 Service Pack 12 (6.7.12008) is out there the certification of FRx SP 12 is complete for Dynamics GP 2010 and Dynamics GP 10 for existing FRx customers. New customers to GP 2010 must use Management Reporter. If you really need FRx then you need to contact Microsoft Dynamics Business Desk.

 

FRx 12 does NOT include the following Dynamics GP 2010 features:

  • Filtering on Reporting Ledgers
  • Budget Transactions and Unposted Budgets

If your customers need these features, they are available in Management Reporter.

doCreditCardAuthorizationActivity Error

A few months ago a customer called saying that whenever he tried to post cash receipts he was getting the following error: A get/change last operation on table doCreditCardAuthorizationActivity cannot find the table.

He said that this was the first time they got the error and they could not continue working.

I did my research and found no mention on the tables at all.

Then I asked if any third party products were installed he said “No the only change is that we updated to SP5” ….. that’s were I got the clue.

I reviewed the Dynamics.set file and saw an unusual product 6499 Dynamics Online Services.

I went to “Microsoft Dynamics GP > Tools > Customization > Customization Maintenance”

and disabled Dynamics Online Services and asked the user to reproduce the steps that gave him the error and it did not appeared.

So I used the following approach to solve the issue:

click on Start > Programs > Microsoft Dynamics > GP 10 > Database Maintenance

I followed the wizard and when I got to the step to select the products I selected Dynamics Online Services and I choose to recreate Stored Procedures, Views and Triggers.

After processing it my understanding was that the error would disappear but instead we got the following error: A get/change last operation on table doCreditCardAuthorizationActivity failed accessing SQL data.

So when I read “Failed Accessing SQL Data” immediately went to SQL server and ran the Grant.sql script and after that no more errors.

On the Dynamics GP online community a recent post regarding this issue was asked and Ian Stewart posted a similar solution as well

Have all users log out from GP and login as SA

go to Microsoft Dynamics GP > Maintenance > SQL select DYNAMICS as DB click on the tables DO Setup, and the options Create Table and Create Auto Procedures.

then select each company and for each company recreate tables and auto procedures for the following tables: DO Cash Receipts (History Open and Work), DO Credit Card Services Activity, DO Credit Card Setup, DO Sales Payment Work and History.

Click process and that’s it.

IRS Released 941 Report – Payroll Round 4

Hello all Francisco here again with payroll updates,

Last week the IRS released the updated 941 report and the Dynamics GP Team has been working on the update non-stop so here it is what’s coming.

 

This update is a code and tax table update (Oregon) to receive all the changes.  This update is all inclusive of prior updates.

It will be noted on Microsoft’s tax update pages a target release date week of 3/28/2011, as it gets closer, we will have more details.

Items included in this update (NO table changes)

I must add that this update will need to be installed on each machine so you receive the “new” 941 form.

-941 form changes (941 form, prep report and cross company reports, this is in the code)

-Oregon state tax table and code changes

-Bug fixes 10 and GP 2010 around HRP.

              New Employer Manual check amount does not distribute to GL correctly

              US Payroll edit tax liability report the 941 amount incorrect

              Electronic W2 file is incorrect for 2010 when you have HIRE Act employees and 2 or more companies

 

GP 2010 only Payroll cannot process manual checks with AA active Error Distributions do not match transaction amounts – still a problem after you apply fix in US payroll year end

GP 2010 only issue Company Payroll Summary Inquiry displays incorrectly

Other modules fixed in this update: Project Accounting, Dexterity, eConnect, Field Service, Analytical Accounting, Grant Management, and Manufacturing

GP 9.0 US Payroll FICA Round 2 has released!!

We are happy to announce that the always working Microsoft Dynamics Team has released the GP 9.0 Round 2 for U.S. Payroll Hotfix.

Please take note that the issues found on the reports after the release of the GP 10 US Payroll hotfix were fixed in this version and for GP 2010 which will be released hopefully in a few hours from this post.

 

Also Microsoft team has informed that there will be another release for GP 10 that will address a fix for the reports found on the earlier release, also will include the release of the Canadian Payroll (round 2) and some changes for the new T4A functionality as well some additional CSST functionality/change.

 

The round 2 2011 tax update (table) is already on the automatic server for all versions.  This is the last tax update supported for 9.0 and 9.0 SBF.

The Microsoft team has announced that they hope to release the 941 form change in March once IRS has the final form published.

8. Enter a location to a folder to extract the contents of the file. Click OK.

Issues list from 10 site- all fixed on 9 and GP 2010
Check Register
When you have Direct Deposit employees the Direct Deposit Check Register will still show the incorrect amount for Employer FICA Owed.  You will need to print the Reprint Check Register (Reports | Payroll | Reprint Journals) in order to show the correct Employer FICA Owed amount.

941 changes
941 Preparation Report will be correct through 6e.  The rest will be understated.
941 Schedule B Preparation Report will be understated.  Report is taking Employee total times 2 instead of taking Employer amount.
Form 941 Schedule B will be understated.  Report is taking Employee total times 2 instead of taking Employer amount.
Federal Tax Liabilities List 941 amount will be understated. 
Form 941 change – we will release update when form changes are finalized by the IRS.
